Reference numbers

What CON-7 and PRP-3 mean, why they count inside your workspace, and why older links keep working.

Every property, unit, contract, contact, expense, maintenance request, payment and installment carries a short reference like CON-7 or PRP-3. It is the number you quote in a message, write on a printout, or read out on a call.

References are counted inside your workspace. CON-7 means "the seventh contract in this workspace", not the seventh contract on the platform. Your first contract is CON-1, your first property is PRP-1, and nothing another company does changes your numbering.

The prefixes never change. Once you have written CON-7 on a document, it keeps meaning the same contract.

Unit references count inside their property

Units restart at 1 in every property, exactly the way unit codes do. Two buildings can each have a UNT-1, just as they can each have a unit labelled "101".

So a unit reference only makes sense next to its property. Say "UNT-1 in PRP-3", not "UNT-1" on its own. The unit's page address carries both, which is why sharing the link is always safer than typing the number.

Where you see them

  • The address bar. Opening a contract shows /app/contracts/CON-7.
  • Detail pages, next to the record's name.
  • Lists, where the reference is the quickest way to tell two similar rows apart.

Copy the address from your browser and send it to a colleague. If they are in the same workspace, they land on exactly the same record.

If they open it while a different workspace is active, they see that workspace's record with the same number, or nothing at all. That is expected: the number belongs to the workspace. When you share a reference outside a link, name the workspace with it.

Older links use the plain record number that the system used before references existed (/app/contracts/407). Those keep working and keep opening the same record they always did. Nothing you bookmarked, emailed, or received in a notification breaks.

Gaps in the numbering are normal

If a record is deleted, its number is never given to anything else. The next record you create takes the next number, so the sequence jumps.

That is deliberate. A reference has to point at one record forever, because it may already be sitting in a receipt, a spreadsheet export, or a message you sent last month. Reusing a number would quietly re-point all of those.

Records with no reference

Some older records show a blank reference until numbering catches up with them. They open and behave normally, and they pick up a reference automatically. A blank reference is not an error and nothing is missing.

Installments that were left over when a contract was closed early, terminated, or renewed also carry no reference on purpose. They are a leftover balance for the whole contract rather than one dated installment, so numbering them alongside real installments would be misleading.

Two things to watch

A payment reference is not a page address. PMT-42 names the payment as a whole. On a contract covering several units, that one payment is recorded against each unit, and those individual lines have their own addresses. Typing PMT-42 into the address bar will not open anything: open the payment from the Payments list instead.
