E-invoicing

E-invoicing for Rent: a tax invoice for every installment, reviewed by you

Aqarflow drafts the tax invoice from the contract’s payment schedule; you review it and issue it, and it reaches the authority through the Fatoora platform in the same moment. E-invoicing for rent and real estate, for management offices, developers and VAT-registered landlords.

Do you need it?

E-invoicing follows VAT registration, and even a registered seller does not need a tax invoice for everything it collects.

Residential rent

Exempt from VAT, and needs no tax invoice.

Commercial rent

Taxed at 15%, with a tax invoice for every installment.

Serviced apartments and seasonal stays

Taxed at 15% even though they are residential.

Amounts collected apart from rent

Parking, electricity, water and service charges are taxable even on a residential contract.

This is a general overview, not tax advice. Consult your tax adviser on your position and on the treatment of each contract.

From switching on to the first invoice

Four steps, and the connection to the authority takes seconds.

Add the seller

Your company or establishment, or yourself if you are registered in your own name: the name as held by the authority, the VAT number and the national address, then assign its properties.

Connect it to Fatoora

One verification code from the Fatoora portal: the signing key is created on the server, the certificate is received and the compliance checks pass, all in one step.

Review the draft

The system prepares it from the installment: seller, customer, a line per unit, the VAT treatment and the deadline; you complete what is missing, such as the customer’s national address.

Issue

Tick that you reviewed it and press Issue. A standard tax invoice is cleared by the authority before it reaches the tenant; a simplified one is reported on issue.

What it does for you

Everything around the invoice, from the deadline to the archive.

The due-for-invoicing list

Installments whose VAT has fallen due with no invoice yet, each with its statutory deadline: a standard tax invoice by the 15th of the following month, a simplified one on the day.

Standard or simplified

The type comes from the tenant’s details: standard for a company, establishment or entity, simplified for an individual, and you can correct it.

Rent amounts as they are

Invoice amounts come from the contract’s schedule and are never typed; if a VAT-inclusive amount does not split exactly, VAT stays at 15% and a rounding-difference line is added.

Credit and debit notes

An issued invoice is never edited or deleted, as the regulation requires; a mistake is corrected with a credit or debit note, and an invoice the authority rejected stays on record.

Quotations

A numbered PDF quotation that states it is not a tax document, converts to an invoice in one step, and records its deposits with a prepayment invoice.

Manual invoices and payments

An invoice for a service fee or a charge recorded against the tenant, payments recorded on it and refunds, with a customer statement.

A 15-year archive

The platform keeps the invoices and notes issued in the production environment for 15 years, and you can download them all in one file whenever you want.

On behalf of an owner

For an office managing property it does not own: a seller per VAT-registered owner in their own name and number, with invoices for their properties in that name.

Frequently asked questions about e-invoicing in Aqarflow

No. Every invoice is issued by a person after reviewing its draft and ticking that they did. The system prepares the draft, reminds you of the deadline, and sends it to the authority after issue.
Yes. The invoice is prepared from the contract’s payment schedule, whether the contract was created in Aqarflow or imported from an Ejar file, and the inclusive amount as Ejar prints it stays as it is, with a rounding-difference line if needed.
It stays on record with its status and the reason is shown to you; you issue a correct invoice in its place, and its number is never reused.
If they are VAT-registered in their own name, they add themselves as a seller of type individual with their ID number and connect it to Fatoora like any seller. An unregistered landlord does not need e-invoicing at all.
An installment’s invoice does not post on its own, because the installment itself did, and the installment follows the invoice’s VAT date. Manual invoices, notes and their payments post when Accounting is on.
