WhatsApp Rent Reminders: a message on time, from a trusted number, to the people you chose

Aqarflow sends WhatsApp rent reminders to the tenant before the installment is due, on the day and after a delay, from the platform number in your office’s name and number, in fixed texts WhatsApp has approved, and only to the people you added on the contract. Your team chooses who receives; the system chooses when.

What the tenant receives

A fixed text in the language set for them, in which only your office’s name and number, the unit, the amount and the date change.

Before the due date

Reminder from «your office»: the rent installment for unit A-12 in Al Nakheel Building is due on 1 November, amount 3,500 SAR. For enquiries please contact «your office number». Thank you for your cooperation.

After a delay

Reminder from «your office»: we have not yet received the rent for unit A-12 in Al Nakheel Building; the outstanding amount is 7,000 SAR since 1 August. For enquiries contact us on «your office number». If you have already paid, please ignore this message.

Every message ends with the line “Sent via Aqarflow” and a Stop messages button under it.

A schedule of the tenant’s own, edited as you like

Four messages per installment by default; add, remove, and change the days, the tone and the sending time.

Three days before

A reminder of the installment’s date and amount, in a formal or friendly tone.

On the due date

A reminder that today is the day.

Three days after

A gentle note that the payment has not arrived, with the overdue amount on the whole contract.

Ten days after

A firm notice of the overdue amount, and you may add a final notice in a sterner tone.

Rules that never change

Built into the system itself, not into a setting that can be forgotten.

No message for those who paid

Overdue messages go only for an unpaid installment, whoever paid in advance gets no reminder for it, and the system reads the payments an hour before sending.

One message a day

Nobody gets more than one automatic message a day per contract, and a tenant renting several units gets one message with their count and total.

Sending hours

From 8 am to 9 pm Riyadh time only, at the hour you choose; anything queued outside it waits for the morning.

The court notice is never sent

Installments claimed in a court case get no messages, and the court notice stays on its own channels.

The tenant decides, and so do you

Consent before adding, a stop button, and permissions for who sends.

Consent before adding

A message goes only to someone you added on the contract, and with every addition you confirm they agreed to receive rent notices on WhatsApp from your office.

Stopped with one button

Under every message is a Stop messages button; if the tenant presses it or replies STOP, their messages stop at once, and only they can lift the stop.

Who sees, chooses and sends

Three separate permissions in the roles: viewing the messages, choosing the recipients, and sending, so only those you authorised can send.

A manual send when you need it

From the contract page, the collection task or Receivables, in the tone you choose with a preview before sending, recorded in the collection follow-ups.

The cost: a prepaid balance, not a subscription

You top up the message balance in fixed packs from the saved card, and a tax invoice is issued with every top-up. A message’s price is deducted when it is accepted for sending and returned if the send fails, and the account owner is alerted when the balance runs low. Before switching automatic sending on, you see the first send’s date, how many messages it holds and the estimated cost against your balance.

WhatsApp messages is a module you switch on under Modules, available on the Solo, Starter and Professional plans and not on the Free plan.

Frequently asked questions about WhatsApp reminders in Aqarflow

From the platform number in the name of Aqarflow on behalf of your office; your office’s name and number appear inside every message, which ends with the line “Sent via Aqarflow”.
If WhatsApp reports that the number is not on WhatsApp, messages to it stop and that shows beside them on the contract page; correct the number on the contact card and add them again.
Yes, like any other contract as soon as you add a recipient to it. For an ended contract with installments still unpaid, overdue messages continue until the last message in the schedule.
No. Messages are sent from the platform number, so your office needs no account, number or approval from WhatsApp. All you need is your office details, a balance and recipients.
