Rent reminder messages: ready templates, and when to send each
8 min read · Updated 2026-10-22
Most tenants who pay late did not decide to pay late. They forgot the date, or thought the amount was different from the one you are asking for, or transferred the money and nothing reached you. A good reminder message deals with all three before they become a dispute: it recalls the date, states the right amount, and makes paying easy. A bad one does the opposite, and loses the payment and the relationship together.
This guide gives you ready rent reminder messages, arranged on a timeline from before the due date to the final notice, and says what every message must contain and what you never write.
What every reminder contains
Whatever the tone, these elements never drop out:
- Who it is from: the office or landlord by the name the tenant knows, not an anonymous number.
- What it is about: the unit and the property by name, not "the property" alone, because a tenant may rent more than one unit.
- How much: the amount actually owed, after any discount or partial payment. Asking for a wrong amount once weakens every request after it.
- When: the due date, and in overdue messages, since when.
- How to pay: the payment method and the account number if transfers are the norm.
- The safety sentence: "if you have already paid, please ignore this message". It saves face for whoever paid an hour ago and has not been recorded yet.
- A contact number for anyone with a question or an objection.
The reminder ladder: when to send what
A reminder before the due date is a reminder; after it, it becomes a demand. So the sequence starts before the due date and escalates slowly:
| When | Purpose | Tone |
|---|---|---|
| Three days before the due date | Recall the amount and the date | Friendly |
| On the due date | A short note that today is the day | Neutral |
| Three days after | Ask what is holding up the payment | Gentle |
| Ten days after | A clear demand for the overdue amount | Firm |
| After a longer period you set | A final notice before the formal route | Formal |
Three rules govern the ladder: at most one message a day, no message to anyone who has paid, and never two steps at once. The hour matters too: between 8 am and 9 pm, not before and not after.
The ready templates
Copy a template and replace the brackets. They are written in an office's voice and suit an individual landlord by replacing "office" with your name.
1. Before the due date, friendly
Reminder from [office name]: the rent installment for [unit] in [property] is due on [date], amount [amount] SAR. To transfer: [IBAN]. For enquiries please contact [office number]. Thank you for your cooperation.
2. Before the due date, formal (for companies)
Dear [tenant name], the rent installment for [unit] in [property] for the period from [date] to [date] falls due on [date], amount [amount] SAR. Kindly settle it by the due date to account [IBAN]. Regards, [office name].
3. On the due date
Reminder from [office name]: today is the due date for the rent of [unit] in [property], amount [amount] SAR. If you have already paid, please ignore this message. Enquiries: [office number].
4. Three days after, gentle
Greetings from [office name]. We have not yet received the rent for [unit] in [property] that was due on [date], amount [amount] SAR. If something is holding up the payment, let us know and we will arrange it with you; if you have paid, please send the transfer receipt. [office number].
5. Ten days after, firm
[office name]: we remind you that the rent for [unit] in [property] has been overdue since [date]; the outstanding amount is [amount] SAR. Please pay within [number] days to account [IBAN], or contact us on [office number] to agree a date. If you have already paid, please ignore this message.
6. Final notice, formal
Dear [tenant name], the rent for [unit] in [property] remains overdue since [date] in the amount of [amount] SAR, despite previous reminders. This is a final notice before the measures provided for in the lease are taken. Please pay or contact us within [number] days of this date. [office name], [office number].
7. After a partial payment
Thank you. [office name] has received [amount] SAR towards the rent of [unit] in [property]. The remaining balance on the installment is [remaining amount] SAR, due by [date]. [office number].
8. Confirming a promise to pay
As agreed today, we expect the rent for [unit] in [property], [amount] SAR, to be paid by [date]. Thank you for your cooperation, [office name].
Template 8 matters more than it looks: a promise with no written date can never be shown to have been kept or broken, and the message confirming it ends any argument about what was said on the call.
What you never write
- A threat you cannot carry out. "We will cut the power tomorrow" or "we will vacate the unit next week" put the sender in a weaker position than the tenant. Name the next step as the lease provides for it, and nothing more.
- An amount from memory. Check the actual balance before every message, especially after a discount or a partial payment.
- More than one message a day, or a message late at night. A reminder that annoys gets blocked, and a blocked number never delivers again.
- A message in a group or in front of others. Arrears are a private matter between two parties.
- Blame or sarcasm. Even in the final notice, cold formal wording is stronger than any emotional phrase.
- A different text for each tenant. A uniform text protects you: nobody can say you treated one tenant differently from the others.
When the messages stop working
A message is a follow-up tool, not a collection tool. If five messages have not worked, the problem is not the wording. Then:
- Call or visit, and record what happened: who made contact, when, the outcome and the next date. The written log is what the office goes back to when asked later.
- Open the door to an arrangement if the difficulty is real: the remainder rescheduled in installments, or a negotiated discount, with the agreement written and signed.
- Move to the formal route provided for in the lease once friendly follow-up is exhausted, and consult your legal adviser on its steps and deadlines; this guide is no substitute for that.
Let the messages send themselves
Everything above can be done by your team by hand every month, or by the system. In Aqarflow, rent reminders reach the tenant on WhatsApp in fixed texts WhatsApp has approved, on a schedule you set once: before the due date, on the day, and after a delay. They go only to people you added on the contract, never to anyone who has paid, at most one a day, and under every message is a button the tenant can use to stop them. Calls, visits and promises to pay are recorded in the collection follow-ups on the contract, and the system reminds you of the date you set.
In short
A good reminder says who it is from, which unit, how much, when and how to pay, and leaves a door open for whoever just paid. It starts before the due date in a friendly tone and escalates slowly, at most one message a day, and never threatens what it cannot carry out. Use the templates above as they are, or let the system send them on time.
